RENTAL POLICIES AND PROCEDURES

 

The following policies apply to all applicants for properties managed by Koja Property Solutions, LLC and for owners/investors using our tenant placement services.


Some of our advertised properties may have pet restrictions, so please verify before applying.


Please review all policies carefully. If you meet the qualifying criteria, we encourage you to submit an application.

PROPERTY IMAGES

 Property images are for illustration purposes only and may differ from the actual property due to property enhancement or change.

AGENCY DISCLOSURE

 Koja Property Solutions, LLC, located at P.O. Box 371345, Decatur, GA 30037, has represented the Owner in this transaction and is compensated by the owner. Koja Property Solutions, LLC has not acted as a representative for any tenant or occupant in this transaction. 

APPLICANT

 

All applicants and all individuals aged 18 and above who will be residing in the property must provide a government-issued photo identification along with one of the following:

  1. A United States government-issued Social Security number,
  2. Current work visa (I-94), or
  3. Temporary resident alien card confirming approved entry by the United States government (I-94W).


  • Applications with false, missing or incorrect information will not be processed.
  • All submitted applications become the property of Koja Property Solutions, LLC.
  • If a co-signer is required, they must also complete and sign an application and pay a $75.00 application fee.
  • Applications must include an application fee to be considered.

NON-REFUNDABLE APPLICATION FEE

  •  Each applicant is required to pay a $75.00 application fee. Applications without this fee will be deemed incomplete and will not proceed.
  • All applications must be completed online through our website.
  • Please note that these fees are NON-REFUNDABLE, regardless of acceptance status.

NON-REFUNDABLE ADMINISTRATIVE FEE

 All accepted applicants will be required to pay a one-time administrative fee upon move-in. This fee varies from $100.00 to $300.00. 

INCOME/EMPLOYMENT:

 

  • Applicants must demonstrate a minimum of one (1) year of stable employment.
  • Self-employed applicants must provide the two most recent tax returns and 12 months' bank statements.
  • Documentation of earnings from social security, child support, alimony, or spousal support must be provided at the time of application.
  • Income that cannot be verified will not be considered.
  • Unemployment benefits will not be considered as income.
  • All applicants must have a combined verifiable net income (after tax deductions) of at least (2.5) times the market rental rate for the desired property.
  • Acceptable income verification includes: 

(A) The last two paycheck stubs showing year-to-date earnings


(B) Employment verification on company letterhead signed by a direct supervisor, or a representative from the payroll or human resources department


(C) Two years of tax returns.


  • If you participate in a subsidized housing program, your income requirements will be based on the portion of rent you are expected to pay. Unless the subsidized housing program is paying 100% of your rent.

OCCUPANCY

 The maximum number of residents permitted to dwell in any property shall not exceed two (2) occupants per bedroom.  Unincorporated Cobb County has an occupancy limit of no more than 2 unrelated adults per household. 

EVICTIONS

 Any eviction filings within the past two (2) years may result in denial of your application. Additionally, rental property collections and outstanding balances may also lead to denial. 

RENTAL HISTORY

 

  • Each applicant must demonstrate a minimum of one (1) year of verifiable and satisfactory rental history. Satisfactory rental history includes timely monthly payments, proper notice upon vacating, and leaving the property without damages.
  • Homeowners must authorize verification of payment history with their lender on the application.
  • Applicants with less than one year of acceptable rental history or who are first-time tenants may be approved with an additional security deposit equal to the standard deposit for the property, or with an acceptable guarantor, provided all other criteria are met.

CREDIT HISTORY

 

  • Our credit-reporting agency assesses credit and rental history to predict future rent payment performance. A negative evaluation may necessitate an additional deposit, a guarantor, or denial of the application.
  • An unsatisfactory credit report may include past or current issues such as bad debts, late payments, unpaid bills, collection accounts, liens, judgments, bankruptcies, etc., which could lead to the requirement of an additional deposit, a guarantor, or denial.
  • Reports provided by applicants will not be accepted.

LEASE GUARANTORS

 

  • Upon review of the rental application, a lease guarantor and/or additional security deposit may be required.
  • All lease guarantors must demonstrate a verifiable net income (after tax deductions) of at least four (4) times the monthly rent amount of the property. If a lease guarantor is necessary, they must meet all the qualifying criteria outlined above.
  • A lease guarantor may be declined due to insufficient rental history, inadequate credit, or insufficient income.
  • The guarantor must pay an application-processing fee, co-sign the lease agreement with the tenant, and must reside in the United States.
  • All guarantors will be listed on the lease agreement.

BANKRUPTCY

 

  • Applicants must wait two (2) years from the date of discharge or dismissal of any previous Chapter 7 bankruptcy. 
  • Active Chapter 7 filings will result in denial of the application.

RENTAL INSURANCE

 

  • Approved applicants must secure renters insurance and maintain an active policy throughout the lease term. 
  • Koja Property Solutions, LLC must be listed as an additional insured.

PETS

 

  • The following dog breeds or any mix thereof are strictly prohibited: Pit Bull, Doberman Pinscher, or Wolf-Hybrid. 
  • Some of our advertised properties may have a pet restriction, so please check before applying. 
  • Pet screening and insurance are mandatory for properties that allow pets.
  • There will be a one time non-refundable pet fee of $400.00, in addition to a monthly pet fee of $35.00.

MULTIPLE APPLICATIONS

 

  • We accept multiple applications for the same rental property and process them in the order of receipt. 
  • Approval is based on established criteria, and it may not necessarily be granted to the first application received.

APPROVAL AND MOVE-IN CONDITIONS

 

Koja Property Solutions, LLC will continue to advertise and consider all other applications for the property until the following conditions are met:

  • Application(s) have been received, paid, and all supporting documentation has been submitted.
  • Within 24 hours of your approval, the Reservation Fee must be received by Management. 
  • The Reservation Fee is non-refundable. 
  • Within 72 hours of your approval by Management, the Lease Package forms must be signed.
  • Failure to meet these requirements will result in your application being closed, and the property will be offered to the next qualified applicant.
  •  Certified funds are required for all initial payments, including the reservation fee (converts to first month's rent), security deposit, non-refundable pet fee (if applicable), and prorated rent.

VALIDITY PERIOD

  •  Approved applications remain valid for 30 days from the approval date. 
  • If a lease is not signed and/or the applicant fails to occupy the property within this timeframe, a new application must be submitted for verification and approval, along with a new application fee. 

DISCLOSURE AND AUTHORIZATION

 

It is our policy to comply with all laws prohibiting discrimination; including those that prohibit discrimination based on race, color, religion, national origin, sex, familial status, or handicap.

INVESTIGATIONAL BACKGROUND SEARCH DISCLOSURE

 

Koja Property Solutions, LLC conducts applicant screening for individuals applying to reside in our managed properties and properties we provide tenant placement services for, which may include criminal background checks.


Before accepting an applicant, we may engage an independent consumer reporting agency to search public records for criminal background information. We will assess whether any felony or misdemeanor records found pertain to the applicant and compare them against our acceptance policies to determine eligibility.


If your application is declined due to unacceptable criminal background information from public records, you will be provided with the name, address, and phone number of the consumer reporting agency that provided the report. Applicants declined based on a criminal background may obtain a free copy of the report and initiate a reinvestigation to correct any inaccurate information. The consumer reporting agency will provide instructions on the necessary procedures for correction.


By agreeing to these terms, I agree to indemnify and hold harmless Koja Property Solutions, LLC, and any parties providing information for this application, from all liability, claims, and lawsuits regarding the information provided, regardless of its nature.
