RENTAL POLICIES AND PROCEDURES

Pre-Screening Requirement:


Koja Property Solutions, LLC (KPS) requires all prospective applicants to complete a pre-screening form before scheduling a property tour. By completing this form, you help us determine whether you meet the minimum qualification requirements prior to viewing the property. Completing the form, allows us to respect both your time and ours by making the process more efficient and streamlined.


The following policies apply to all applicants for properties managed by Koja Property Solutions, LLC, as well as to owners and investors utilizing our tenant placement services.


Some advertised properties may have specific pet restrictions; please confirm these details before submitting your application.


As part of our screening process, we require certain documents, including a copy of your ID, Social Security card, recent pay stubs, and bank statements. 


We request this information to ensure a fair and accurate screening process. These documents allow us to verify each applicant’s identity, income, and financial stability. They also serve as important records in the event of any disputes, audits, or legal matters.


We encourage you to review all policies carefully. If you meet the qualifying criteria, we welcome you to submit an application for consideration.


If you’re not comfortable providing the required documentation, we respectfully ask that you do not submit an application.

AGENCY DISCLOSURE

Koja Property Solutions, LLC, located at P.O. Box 371345, Decatur, GA 30037, has represented the Owner in this transaction and is compensated by the owner. Koja Property Solutions, LLC has not acted as a representative for any tenant or occupant in this transaction. 

IDENTIFICATION & APPLICATION REQUIREMENTS

All applicants—and all individuals aged 18 and older who will reside in the property—must provide a valid government-issued photo ID along with one of the following:

  • A U.S. government-issued Social Security number
  • A current work visa (I-94)
  • A temporary resident alien card confirming approved entry by the U.S. government (I-94W)
     

Applications containing false, missing, or incorrect information will not be processed.


All submitted applications become the property of Koja Property Solutions, LLC.


If a co-signer is required, they must also complete and sign a separate application and pay a $75.00 application fee.

Applications will not be considered without the required application fee.

APPLICATION FEE & SUBMISSION POLICY

  •  Each applicant is required to pay a $75.00 non-refundable application fee. Applications submitted without this fee will be considered incomplete and will not be processed.
  • All applications must be completed online through our website or via our google application form.
  • Please note that application fees are non-refundable, regardless of approval or denial status.

NON-REFUNDABLE ADMINISTRATIVE FEE

 All approved applicants are required to pay a one-time non-refundable administrative fee at move-in. This fee ranges from $100.00 to $300.00, depending on the property.


The administrative fee covers lease preparation, move-in coordination, account setup, and related administrative processing costs.

EMPLOYMENT & INCOME REQUIREMENTS

  •  Applicants must demonstrate a minimum of one (1) year of stable employment.
  • Employed applicants must provide two (2) months of bank statements and recent pay stubs.
  • Self-employed applicants must provide their two (2) most recent tax returns and twelve (12) months of bank statements.
  • Documentation of earnings from Social Security, child support, alimony, or spousal support must be submitted at the time of application. 
  • Income that cannot be verified will not be considered.
  • Unemployment benefits are not accepted as a source of income. 
  • All applicants must have a combined, verifiable net income (after tax deductions) of at least 2.5 times the monthly rental rate for the desired property.
     

Acceptable income verification includes:
A. Pay stukly employees must provide four (4) pay stubs
 • Weekly employees must provide eight (8) pay stubs
B. Employment verification on company letterhead, signed by a direct supervisor or an authorized representative from payroll or human resources
C. Two (2) years of tax returns


Subsidized Housing Applicants:
If you participate in a subsidized housing program, income requirements will be based on the portion of rent you are responsible for paying—unless the program covers 100% of the rent.

OCCUPANCY

 The maximum number of residents permitted to dwell in any property shall not exceed two (2) occupants per bedroom.  Unincorporated Cobb County has an occupancy limit of no more than 2 unrelated adults per household. 

EVICTIONS

Any eviction filings within the past two (2) years may result in automatic denial of your application. Outstanding rental balances, property-related collections, or unpaid landlord debts may also be grounds for denial. 

RENTAL HISTORY

  •  Each applicant must demonstrate a minimum of one (1) year of verifiable and satisfactory rental history. Satisfactory rental history includes consistent on-time payments, proper notice given prior to vacating, and leaving the property in good condition without damages.
  • Homeowners must authorize verification of their mortgage payment history directly with their lender as part of the application process.
  • Applicants with less than one (1) year of acceptable rental history or those who are first-time renters may be considered with an additional security deposit equal to the standard deposit for the property, or with an approved guarantor, provided all other qualifying criteria are met.

CREDIT EVALUATION

  •  Our credit-reporting agency evaluates each applicant’s credit and rental history to help predict future rent payment performance. A negative credit evaluation may result in the requirement of an additional security deposit, an approved guarantor, or denial of the application.
  • An unsatisfactory credit report may include, but is not limited to, delinquent accounts, late payments, unpaid bills, collections, liens, judgments, or bankruptcies. These factors may impact approval status or deposit requirements.
  • Credit reports submitted by applicants will not be accepted. Please note that a lower credit score may require a higher security deposit.

GUARANTOR REQUIREMENTS

  • Upon review of the rental application, a lease guarantor and/or additional security deposit may be required.
  • All lease guarantors must demonstrate a verifiable net income (after tax deductions) of at least four (4) times the monthly rent of the property and must meet all other qualifying criteria outlined above.
  • A guarantor may be declined due to insufficient rental history, inadequate credit, or insufficient income.
  • The guarantor must pay an application-processing fee, co-sign the lease agreement with the tenant, and reside within the United States. All approved guarantors will be listed on the lease agreement.

BANKRUPTCY POLICY

  • Applicants must wait a minimum of one (1) year from the discharge or dismissal Date of any prior Chapter 7 bankruptcy before applying.
  • An active Chapter 13 bankruptcy will result in automatic denial of the application. 

RENTER'S INSURANCE & UTILITIES

  • Approved applicants are required to obtain and maintain active renter’s insurance for the duration of the lease term. Koja Property Solutions, LLC must be listed as an additional insured on the policy.
  • Proof of active utilities in the tenant’s name must also be provided prior to move-in. All utilities must remain in the tenant’s name throughout the tenancy.

PET POLICY

  • The following dog breeds, or any mix thereof, are strictly prohibited:   Pit Bull, Doberman Pinscher, and Wolf Hybrid.
  • Some properties may have additional pet restrictions—please verify before submitting an application.
  • For properties that allow pets, pet screening and proof of pet liability insurance are required.
  • A one-time, non-refundable pet fee of $400.00 will apply, along with a monthly pet rent of $35.00 per pet.
  • A maximum of two (2) pets is permitted in pet-friendly homes; however, some homes may allow only one (1) pet based on owner preference or property restrictions.

APPLICATION PROCESSING POLICY

 We may receive and review multiple applications for the same rental property. Applications are processed in the order received; however, approval is based solely on meeting all qualifying criteria and is not guaranteed to the first applicant.

APPLICATION APPROVAL & RESERVATION

Koja Property Solutions, LLC will continue to advertise and consider other applications for the property until all of the following conditions are met:


  • The completed application, application fee, and all required supporting documentation have been received. 
  • Within 24 hours of approval, the Reservation Fee must be received by Management. 
  • The Reservation Fee is non-refundable and will be applied toward the first month’s rent upon move-in.
  • All Lease Package forms must be signed no later than seven (7) days prior to the scheduled move-in date.

 

Failure to meet any of these requirements will result in the application being closed, forfeiture of the reservation fee and the property will be offered to the next qualified applicant.


All initial payments—including the Reservation Fee, Security Deposit, Non-Refundable Pet Fee (if applicable), and Prorated Rent—must be made using certified funds.

APPLICATION VALIDITY

  • Rental applications are valid for fifteen (15) days from the date of submission. If a lease is not signed within this timeframe, or if there are material changes to the applicant’s information or qualifications, a new application and application fee may be required.
  • Koja Property Solutions, LLC reserves the right to re-verify all information prior to final lease approval or signing.

BACKGROUND CHECK DISCLOSURE

By submitting a rental application, the applicant authorizes Koja Property Solutions, LLC to verify all information provided, including but not limited to employment, income, rental history, credit, and criminal background. The applicant understands that all information obtained will be used solely to determine rental eligibility and that any falsification, omission, or misrepresentation may result in denial or termination of the application.


Koja Property Solutions, LLC conducts screening for all applicants applying to reside in our managed properties and properties for which we provide tenant placement services. This screening process may include a criminal background check conducted through an independent consumer reporting agency.


The consumer reporting agency may review public records to obtain criminal background information. Any felony or misdemeanor records discovered will be evaluated in accordance with our established acceptance policies to determine eligibility.


If an application is denied based on criminal background information, the applicant will receive the name, address, and phone number of the consumer reporting agency that provided the report. Applicants have the right to request a free copy of the report and to dispute or correct any inaccurate information directly with the agency.


By submitting this application, the applicant agrees to indemnify and hold harmless Koja Property Solutions, LLC, its agents, and any parties providing information from any liability, claims, or damages arising from the use of such information during the screening process.
