Our property management fees vary depending on the type and number of units managed. For most properties, our standard fee ranges from 8% to 10% of the monthly rent.

Our rent collection and reporting are managed through Rentec. With this software, both owners and tenants have secure, real-time access to their account information.
Monthly proceeds are distributed on the 10th of each month via ACH. If the 10th falls on the weekend or holiday, payment will be issued the next business day. It can take 3 days for proceeds to post. Clients with rooms for rent are on a separate payment schedule. Please email us for more details.
Monthly income/expense reports, end-of-year tax documents (Form 1099), and detailed maintenance logs—all accessible through your secure owner portal.
Our property management agreements typically have a one-year term. Early termination may be available, inquire during your initial consultation.
Yes, if a tenant we place in your property breaks the lease, is evicted, or needs to be replaced within the first six months of tenancy, we will find a new tenant at no additional leasing fee. This applies to our property management services only.
Non-emergency repairs are handled promptly and efficiently through our work order system. Tenants can submit maintenance requests directly through their online portal, which ensures accurate documentation and timely follow-up. Once a request is received, we assess the issue, assign the appropriate team member or vendor, and keep both the tenant and owner informed throughout the process. Our goal is to resolve non-emergency issues within 24–72 hours, depending on the nature of the repair
We typically maintain a $300 to $500 reserve fund per property to cover minor repairs and maintenance expenses. This amount can be adjusted based on your preferences and the property's needs, and we’ll always notify you before authorizing any major repairs.

The late fee is typically split between Koja Property Solutions and the property owner, unless otherwise stated in your management agreement.
We conduct property inspections at least once a year. Additional inspections may be scheduled as needed, such as after maintenance work or based on owner request. Our goal is to ensure the property is well-maintained and any issues are addressed proactively. We charge a one-time inspection fee of $75 per property.
Our primary goal is to prevent evictions by offering reasonable payment arrangements when possible. However, if a tenant fails to comply with the lease terms, we work closely with local attorneys to initiate the legal eviction process. Throughout the process, we keep you informed every step of the way.
Our current vacancy rate is consistently low, typically ranging between 2% and 5%, depending on market conditions and property type. We focus on proactive marketing and efficient turnover processes to minimize downtime and keep units occupied.
As our company continues to grow, we prioritize stability and invest in our team to ensure long-term retention and performance. We maintain a low employee turnover rate, which reflects our commitment to a positive work environment, ongoing training, and strong team culture.
During business hours, calls are answered promptly and professionally by a team member who identifies themselves and our company. We aim to resolve inquiries on the first call. If we happen to miss a call, voicemails are typically returned within 1 hour or less during business hours. In addition to phone support, we also utilize text messaging and email to ensure fast, convenient communication with both owners and tenants.
For after-hours calls, we offer a dedicated voicemail system and text messaging option for reporting urgent maintenance issues, which are escalated to on-call team member as necessary. All non-urgent messages are addressed the next business day.
